1. PERSONAL INFORMATION AND VISA PROCEDURE
Filling the personal information block in the Registration Form is necessary for all participants
and accompanying persons,
but most urgent for those who need a Russian visa.
(If you do not need the visa, please do choose the corresponding option in the Registration Form)
For those who need a Russian Entry visa:
To apply for the visa, we should provide you with an official invitation.
This invitation will be issued based on
(1) Personal information from the Registration Form.
(2) A scanned image or photocopy of your passport page(s) containing the holder's photograph, name,
passport number and expiration date.
Therefore, please send us a scanned version or photocopy of your travel passport page(s) at the
Conference e-mail: firstname.lastname@example.org
The procedure of obtaining a Russian visa is different for different countries and depends, for example,
on your travel plans inside Russia. We will be able to inform you about further details only after you fill
in the Registration Form.
PLEASE MAKE SURE THAT ALL THE NECESSARY DATA ARE OBTAINED BY THE ORGANIZERS NO LATER THAN 19 MARCH 2009
2. CHOOSING ACCOMMODATION
The Organizing Committee can offer accommodation at the
Sputnik Hotel ***
at the following somewhat discounted rates:
(S1) 3930 rubles per day, single room, breakfast included,
(S2) 4300 rubles per day, double room (1 bed), breakfast included.
To make a booking, please indicate the room type (S1) or (S2) in the Registration Form.
The above price applies only if you book via the Organizing Committee (that is, in your registration form).
The discount results from an agreement for a pool of rooms, based on our best current estimate of the number of
participants, and it is therefore not guaranteed that the reduced price options will still be available shortly
before the Conference. For this reason, we suggest that you make your decision about your period of stay at your
earliest convenience, but no later than March 19, 2009.
If you prefer alternative options from the Sputnik Hotel,
please choose the (SA) option in the Registration Form and in the next field then indicate the room you
choose as it is given at the hotel's site.
Once again, please make your choice no later than March 19, 2009.
If none of the above options suits you, we can recommend the
President Hotel *****.
To choose it, please indicate (PA) in the
Registration Form, and in the next field then specify the room you choose as it is given
at the hotel's site.
We recommend that you make your President Hotel booking as soon as possible.
IMPORTANT NOTICE: in case you have chosen one of the options above, the Organizing Committee will
contact you to confirm your booking as soon as it is actually made. One of the reasons why we recommend
bookings at the Sputnik
or President Hotel to be made via the Organizing Committee is that this simplifies
the procedures for preparing an official invitation needed for your Russian visa.
If you do not intend to stay at the Sputnik
or President Hotel for the entire period of your stay in Russia,
if you prefer any other accommodation in Moscow, or plan to stay at your friends, and if you intend to visit
any other places in Russia outside Moscow, PLEASE DO INFORM US as soon as possible because this will affect
the procedure of obtaining your visa.
In all cases, we need the Registration Form for you as well as for each accompanying person no later than

This is to inform you of an improvement in the available accommodation options.
The ***Sputnik Hotel can be replaced by the ****Korston Hotel, with no change in price but somewhat better conditions.
Standard rooms offered by Korston include air conditioning, refrigerator, and WiFi internet. Breakfast is included as
well (http://mow.korston.ru/en/hotel/rooms/standard/). This is a replacement of the S1 and S2 options at Sputnik.
Òhe Korston Hotel neighborhood is quieter (and nicer) compared to that of Sputnik. It is slightly farther from the
Conference site, but still a walking distance (+7 mins compared to Sputnik).
Every morning, evening, and lunch time there will be shuttles to and from the Korston Hotel.
If you insist on staying at Sputnik, please let us know.
The Organizing Committee recommends choosing the Korston Hotel. One of the reasons is that we will cover lunches for
all the participants (irrespective of their accommodation), and these will be served at Korston.
BRIEF HOTEL INFORMATION:
Sputnik Hotel *** is a walking
distance (less than 1 kilometer)
from the Lebedev Institute, where the Conference will take place. The Institute and the hotel are on
Leninsky prospect, a major southbound avenue beginning in the city center. There is a currency exchange
office in the hotel.

The Korston Hotel Moscow is conveniently located in the green district of the Vorobyovy Hills
and the Moskva River.
From the "Vorobiovy Gory" metro station (an approximately 15-minute walk): get off the first carriage of the train
(if you go from the city centre), take the Kosygina street metro exit, turn left and walk up the path until you reach
Kosygina street, cross the road, and walk to the main entrance of the Korston Hotel.
From the "Leninsky Prospect" metro station: get off the first carriage of the train (if you go from the city centre),
from the metro turn left, and head towards Leninsky Prospect (use the subway to cross the street). Go up the left
stairs of the subway to find Gagarina square on your left and to face the beginning of Kosygina street lying straight
forward in front of you. The Korston Hotel is situated on the left side of Kosygina street as you walk up it.

President Hotel ***** is located closer to the city
center along the same avenue (Leninsky prospect, which becomes Bolshaya Yakimanka street and then, closer
to the Kremlin, Bolshaya Polyanka street). The panorama from this hotel, situated on a river bank, includes
the Kremlin, the Cathedral of Christ the Saviour, and the controversial monument to Peter the Great.

The driving time from the hotel to the conference location is ideally about 10 minutes in a taxi and about
25 minutes by bus, but it can sharply increase because of traffic jams which are quite frequent in Bolshaya
Yakimanka street and Leninski prospect. There is a currency exchange office in the hotel.
For your convenience, the currency rates at the beginning of February are approximately as follows:
1 $ = 36 rubles
1 EURO = 46 rubles
3. INFORMATION ABOUT THE DATE AND TIME OF YOUR ARRIVAL/DEPARTURE
The Organizing Committee will assist in transfer to a hotel from the airport on your arrival and
from the hotel to the airport when you leave Moscow.
Further details will be clarified later.
Please indicate the following in the Registration form:
Date, time, flight number, and a Moscow airport for both arrival and departure
City of departure/destination
4. PAYMENT OF THE REGISTRATION FEE
The registration fee is Euro 300 for participants and Euro 150 for each accompanying person.
The fee covers a welcome party, the banquet, coffee breaks, and other organizational costs,
plus transportation assistance from and to the airport.
Payment of the registration fee is NONCASH and should be made no later than 10 April 2009.
After 10 April 2009, the fee is Euro 360 for participants and Euro 180 for accompanying persons.

The Organizing Committee has an opportunity for partial support for a limited number of participants.
If you need a support, please indicate this in the "Comments" field of the Registration form and specify which
of the following options is preferable:
1) partial support of accommodation (at the Sputnik Hotel);
2) partial reimbursement of your travel expenses (we will not be able to cover the whole ticket, so there will probably be a reimbursement ceiling);
3) reducing the Registration fee.
5. TITLE AND ABSTRACT OF YOUR TALK
The estimated time of a talk will be 20-25 minutes, but thå actual schedule may vary in different sections.
There will be a very limited number of 40-min plenary talks for general audience in theoretical physics.
We also plan to publish the abstracts of talks as a booklet BEFORE THE CONFERENCE and make it available
to all participants. The size of an abstract should not exceed 20 lines.
Please submit definitive TITLE and ABSTRACT of your talk via the
Title/Abstract Submission Form.
Because preparation of the booklet will take some time, please do this no later than April
15 24, 2009
